This is the Local Pass Business mobile app experience for restaurants. On the web dashboard, restaurant order pages are a read-only summary — live order management happens here, in the app. (Agrifood/store vendors manage orders on the web instead — see Managing order fulfillment.)
Where to find it: Tap any order in your orders list to open the panel The Order Fulfillment Panel gives you full control over a single order from the moment it arrives to the moment it’s completed. It’s designed for fast, confident action with minimal taps.

Order Header

At the top of the panel you’ll see:
  • The order number
  • Current status
  • Whether it is a Pickup or Delivery order
  • A printer icon in the top right — tap it for Reprint ticket or Printer settings

Adjusting the Ready Time

The “Prepare by” time display in the centre of the panel shows when the order needs to be ready.
  • Tap − 5 to subtract 5 minutes from the ready time
  • Tap + 5 to add 5 minutes
When you’ve changed the time, a SAVE button appears below. Tap it to confirm — the customer and any assigned driver will both receive a push notification with the updated time automatically.

Customer Notes

If a customer left special instructions (e.g., “no onions”, “please double-bag”, “allergy to nuts”), they appear in a highlighted card right below the ready-time display — before the item list, so you see it while you’re still deciding what to prepare.

Items That Need Weighing

If the order includes anything sold by weight (produce, deli items, etc.), a banner reading “N items need weighing” appears above the item list. Tap it any time to open the scale entry sheet and key in the actual price from your scale for each item.
Weigh these before tapping “Ready for Pickup.” The price shown at checkout was only an estimate with a card hold — once you tap Ready for Pickup, the final charge is captured immediately using whatever price is on record at that moment. If you haven’t weighed an item yet, the customer is charged the original estimate, and there’s no way to correct it afterward without a separate refund.

Items Table

A full breakdown of everything in the order: item name and quantity, selected options or customisations, and price per line item. Tap any item row to mark it out of stock. A confirmation sheet appears:
Mark as out of stock? The customer is notified right away and asked whether to drop the item or cancel the order.
Choose Keep it to back out, or Mark OOS to confirm. The item shows a strikethrough and an “OOS” tag in the list, and this can’t be undone from here — resolving it is entirely in the customer’s hands from this point.

What the customer actually sees

The in-app confirmation above undersells it a little — the customer isn’t just choosing between dropping the item or cancelling everything. As soon as you mark an item OOS, they get a notification and a sheet titled “[Item name] is out of stock — Choose how you’d like to resolve this — up to $[item price].” with three options:
A substitution can only be for something at or under the original item’s price. If they pick something cheaper, the difference is automatically refunded to their card — they never pay more for swapping. You’re only notified (with a push alert to prepare the new item) if they choose the swap — a credit or refund resolution doesn’t page you, since there’s nothing left for you to do.
Once resolved, the item shows what happened right in their order: “Credited X.XXinLocalCoins,""RefundedX.XX in Local Coins," "Refunded X.XX,” or “Substituted (was: [original item]).” This can only happen once per item — it can’t be re-resolved or reversed after their choice goes through.

Customer & Driver Info

Customer row

Shows the customer’s first name and phone number so you can contact them if needed.

Driver row (delivery orders only)

  • Before you accept the order: “Accept order to initiate driver search.”
  • After accepting, before a driver is matched: a live search animation shows the system is actively looking.
  • Once a driver is assigned: their name appears, along with an arrival estimate once the order reaches Preparing or Ready for pickup.

Action Button

The main button at the bottom of the panel changes based on where the order is:
“Driver Collected — Confirm” isn’t a bug — a driver can occasionally reach and collect an order before you’ve tapped Ready for Pickup. The button relabels itself because asking you to confirm something that’s already happened would look stuck otherwise. It does the same thing either way: captures payment (using the weighed total if applicable) and advances the order.

Accept Order

Confirms you’ve received the order and will prepare it. For delivery orders, this simultaneously creates a delivery request and begins searching for an available driver. If you have a receipt printer connected, the ticket prints automatically at this point — see below.

Ready for Pickup / Driver Collected — Confirm

Captures payment and marks the order prepared. If any items still need weighing, the scale entry sheet opens first and blocks until you’ve entered a price — the capture uses whatever is on record the moment you confirm, so weigh first.

Order picked up

Completes the order. For pickup orders, marks it Completed. For delivery orders, marks it as handed to the courier.

Receipt Printing

If you’ve connected a receipt printer, tickets print automatically the moment you tap Accept Order — you don’t need to do anything else. If no printer is connected, a prompt appears instead:
No printer connected Connect a receipt printer and tickets print themselves when you accept an order.
You can dismiss this and set it up later from the printer icon in the header, or connect one on the spot. Use the printer icon → Reprint ticket any time a ticket is lost, jammed, or never came out.

Cancelling an order

Tap Cancel order below the main action button. A confirmation dialog shows the refund amount before you confirm. Once cancelled:
  • The payment hold on the customer’s card is automatically released — no charge is made
  • The customer receives a push notification
  • The order disappears from your active queue
Cancel is hidden once a driver has already collected the food (i.e. the order has reached “En route to drop-off”). Cancelling after that point isn’t supported, to protect the driver and customer who are already mid-delivery.

Support button

Tap the headset icon next to the action button (visible once an order has been accepted) to open a live support chat with the Local Pass team, pre-filled with your order details so support can help faster.

Completed Orders

Below that, a delivery timeline shows the order’s progress, and a note reminds you: “Order removed from your queue. Find it any time in Order History.” Tap Got it to dismiss and move on to your next order.

Cancelled Orders

If an order is cancelled, an overlay confirms:
Order has been cancelled This order has been cancelled and the payment hold released. No charge was made.
Tap Close to return to your order list.
Nice work! Order is on its way The customer has been notified. This order is off your plate — the rest is on us.
