# Managing order fulfillment

The fulfillment dashboard is where you work through your active orders every day. It shows everything in your queue, lets you advance orders through status stages, and alerts you when something needs attention.

## Opening the Dashboard

Go to **Fulfillment** in your vendor dashboard. The dashboard loads automatically and updates in real time — you do not need to refresh the page to see new orders.

## Understanding the Dashboard Layout

The dashboard is divided into a few key areas:

### Stats Bar (top)

Five quick numbers across the top of the screen:

| Stat                | What it shows                                                         |
| ------------------- | --------------------------------------------------------------------- |
| **Needs Action**    | Orders that are Placed or Pending and waiting for you to accept them. |
| **Deliveries**      | Delivery orders scheduled for today.                                  |
| **Pickups**         | Pickup orders scheduled for today.                                    |
| **Shipping**        | Shipping orders scheduled for today.                                  |
| **Today's Revenue** | Combined order value for today's fulfillment dates.                   |

Clicking **Needs Action** (when it shows a number) filters the list to only those orders.

### Order Groups

Orders are grouped by time of day:

* **Overdue** — past their fulfillment time and not yet completed
* **Morning** — before 12pm
* **Afternoon** — 12pm to 5pm
* **Evening** — after 5pm

Overdue orders appear at the top in red. Address these first.

## Order Status Stages

Every order moves through a set of stages. The current stage is shown as a coloured badge on the order card.

| Status               | Meaning                                               |
| -------------------- | ----------------------------------------------------- |
| **Placed / Pending** | New order, waiting for you to accept.                 |
| **Accepted**         | You have confirmed the order.                         |
| **Preparing**        | You are preparing the items.                          |
| **Packaged**         | Items are packed and ready to go.                     |
| **Ready**            | Order is ready for pickup or for the driver.          |
| **Out for Delivery** | Driver has collected (delivery orders).               |
| **Shipped**          | Order has been handed to a carrier (shipping orders). |
| **Completed**        | Order is done.                                        |

## Advancing an Order

To move an order forward:

**Using the button on the card:** Click the **Mark as \[Next Stage]** button at the bottom of each order card.

**Using swipe (mobile):** Swipe right on an order card to advance it one stage.

The customer receives an automatic notification each time the status changes.

### Setting an Estimated Ready Time

You can send the customer an ETA by clicking the **Set ETA** button in the top right of an order card (the clock icon). This opens a time picker. Select the time and save — the customer gets a push notification with the updated time.

## Filters and Views

Use the toolbar below the stats bar to filter and sort your queue.

### Smart Filters

| Filter           | Shows                                                          |
| ---------------- | -------------------------------------------------------------- |
| **All**          | Every active order.                                            |
| **Needs Action** | Only Placed and Pending orders.                                |
| **Due Soon**     | Orders with a fulfillment time within 90 minutes.              |
| **Overdue**      | Orders past their fulfillment time that are not yet completed. |

### Status Filters

A row of chips lets you filter by a specific status (e.g. show only **Packaged** orders).

### Views

| View         | Description                                            |
| ------------ | ------------------------------------------------------ |
| **Card**     | Full order cards grouped by time of day. Default view. |
| **Compact**  | Dense rows — useful when you have many orders.         |
| **Calendar** | See orders by date. Tap a date to view its orders.     |

### Search

Type in the search bar to find orders by order number or customer name.

## Expanding an Order Card

Click the **chevron (↓)** on the right side of an order card to expand it. The expanded view shows all items in the order with quantities, selected options, and prices.

Click again to collapse.

## Bulk Actions

If you need to advance or print labels for multiple orders at once:

1. **Long-press** any order card (mobile) or **swipe left** on it to enter bulk select mode.
2. A selection bar appears at the top.
3. Tap orders to select them. Tap **All** to select everything in the current view.
4. Use **Advance** to move all selected orders to their next stage, or **Labels** to print shipping labels for all selected delivery/shipping orders.
5. Tap **✕** to exit bulk mode.

## New Order Alerts

When a new order arrives while you are on the dashboard, a red banner pulses at the top of the screen:

> **"2 new orders just arrived!"**

Tap **View** to filter to the new orders. Tap **✕** to dismiss the banner.

Your device will also play a sound and vibrate (if supported).

## Contacting a Customer

Each order card has a **Chat** button in the action row at the bottom. Tapping it opens a direct message thread with the customer so you can communicate about their order.

## Printing a Daily Picklist

To print a summary of all orders for a given date:

1. Click **Picklist** in the top right of the dashboard header (tablet or desktop only).
2. A PDF is generated and sent to your printer or PDF viewer.
3. The picklist includes order numbers, items, quantities, status, and fulfillment type.
